Privacy Policy

PingHR is a consumer SaaS tool that helps job seekers automate parts of their application workflow. Users connect their Gmail account, configure job search preferences, and PingHR creates personalized application drafts in Gmail for manual review. PingHR does not auto-send emails and does not guarantee jobs, interviews, or hiring outcomes.

Information We Collect

• Account details such as name, email address, password hash, and login session data.
• Profile details provided by users, including role preferences, locations, resume files, profile facts, templates, and settings.
• Run data such as job search inputs, scraped job metadata, lead status, draft counts, failures, and logs needed to show progress.
• Payment records such as order IDs, payment IDs, payment status, selected plan, and run credit balance.
• Analytics data from PostHog, including product events and privacy-masked session recordings, when enabled.

Analytics and Cookie Consent

PingHR uses essential cookies for login sessions. Analytics and privacy-masked session recordings are optional and start only after the user accepts analytics consent on the website. Users may choose “Essential only” and continue using the service without analytics cookies.

Google and Gmail Data

If you choose to connect Gmail, PingHR requests Gmail permissions only to support the draft creation feature. PingHR may access your Gmail account email address, Gmail OAuth tokens, and draft-related Gmail API responses needed to create and open drafts.

PingHR uses Gmail access to create draft emails in the Gmail account you connect. Users must manually review and send drafts themselves. PingHR does not auto-send emails from your Gmail account.

How We Use Information

• To create and maintain your PingHR account.
• To run configured job searches and generate application drafts.
• To create Gmail drafts in the connected user account.
• To process run credits, coupons, and payments.
• To detect errors, improve product quality, and provide support.

Google API Limited Use

PingHR's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data. We do not use Google user data for advertising. We do not transfer Google user data to third parties except where required to provide or secure the user-requested functionality, comply with law, or protect against abuse.

Data Sharing

We use service providers such as hosting, database, payment, analytics, job data, Gmail OAuth, and AI model providers to operate PingHR. These providers process data only as needed for the service. We do not sell user personal data.

Data Security

We use HTTPS, server-side access controls, role-based admin restrictions, and database access controls. No online system is perfectly secure, but we take reasonable steps to protect user data in transit and at rest.

Data Retention and Deletion

Users can request account deletion from the app or by contacting support. Account deletion removes user account data, profile data, resumes, runs, and user-owned logs where practical. Verified business contact emails may be retained without user ownership metadata so the platform can avoid repeated verification costs and maintain email quality.

Users can revoke Gmail access from their Google Account security settings at any time.
